You've designed the vents, the racks, and the lighting motion. Now you have to buy the actuators — at volume, to spec, on a timeline, without discovering six months in that the "IP66" unit wasn't really IP66. Design engineers specifying actuators into a CEA build, OEMs integrating actuators into grow systems, and procurement teams sourcing at volume. The common goal: a part that meets spec in a humid, corrosive, duty-cycle-heavy environment — at a defensible price, from a supplier who'll still be there for the second order.
Most quoting delays and mismatches come from vague RFQs. A supplier can only quote what you specify. Use this template.
1.Application & environment — e.g., "greenhouse roof vent, outdoor exposure, condensation, 80% RH."
2.Force — peak load including wind/snow/dynamic, with your safety margin stated.
3.Stroke — exact travel in mm.
4.Speed — required mm/s (and whether smooth modulation matters).
5.Duty cycle — % and cycles/day expected.
6.IP rating & materials — e.g., "IP66 minimum, stainless fasteners, sealed glands."
7.Mounting & feedback — clevis/threaded/foot; Hall or potentiometer feedback; how many to synchronize.
8.Certifications & volume — CE/RoHS/etc. required; annual quantity and delivery timeline.
Send this once and you'll get comparable, accurate quotes instead of a round of clarifying emails.
A datasheet is a claim, not proof. For CEA, three lines deserve verification.
Ask how the IP rating was tested and to which standard (IEC/EN 60529), and request the specific material grades for fasteners and the extension tube. "Stainless" without a grade is a red flag in a salt-fog application — ask for 304 vs 316. (See corrosion design for why this matters.)
Confirm the rated force is continuous, not a momentary peak, and ask for the duty-cycle definition and any lifetime/cycle test data. Under-rated duty cycle is the quiet killer of vent actuators that cycle all summer.
Ask for actual CE / RoHS (and any ISO) documentation, not just a logo on a page. A serious OEM supplier produces certificates on request.
For a multi-year farm build, the supplier relationship matters as much as the part:
China is the dominant source for electric linear actuators, spanning everything from commodity hobby units to genuine industrial-grade builds. The buyer's task is to land in the industrial-grade band without overpaying for an over-spec part. Practical tactics:

Send your existing unit's spec (or the unit itself) to the supplier and ask them to match it. Maintaining a qualified second source is sound procurement practice for any production farm that can't afford a single-supplier stockout.
The purchase price of an actuator is a fraction of its lifetime cost in a farm. An under-spec unit that corrodes or overheats forces:
